The Legal Operations Specialist supports a Fortune 500 Medical Device client by implementing and supporting project management processes. The role establishes project performance metrics while promoting adoption of standard practices across teams.

Daily work includes managing complex scheduling for legal leadership, drafting legal documents and presentations, and providing administrative support such as expense reporting and onboarding. Project planning sessions and post-project reviews are coordinated to ensure timely completion.

Collaboration occurs with cross-functional project teams and stakeholders on portfolio status reporting and department programs like continued legal education. Microsoft Office Suite and collaboration technologies are used to maintain alignment and track milestones.

Quality systems compliance is built into all work through adherence to requirements in a medical device environment. The hybrid position in Arden Hills offers exposure to regulated industry operations and process improvement initiatives.

Requirements

  • Experience implementing project management processes and maintaining performance metrics.
  • Proficiency in Microsoft Office Suite and project management technologies.
  • Ability to manage complex scheduling and coordinate across legal and cross-functional teams.
  • Skill in drafting legal documents and presentations for leadership review.
  • Familiarity with quality systems compliance requirements in medical device settings.
  • Experience supporting project planning sessions and conducting post-project reviews.

Responsibilities

  • Manage complex scheduling across legal leadership and cross-functional teams including recurring meetings and executive briefings.
  • Draft, format, and finalize legal documents, PowerPoint presentations, and internal communications.
  • Provide general administrative assistance including expense reporting, booking working space, onboarding, and mail.
  • Assist in the planning, execution, and finalizing of projects including drafting communications and coordinating team efforts.
  • Lead coordination efforts for department programs ensuring alignment across stakeholders and tracking milestones.
  • Support project teams in the use of Microsoft Office Suite and other select technologies.
  • Implement and support project management and team collaboration technologies for status reporting.
