About this role
The Dartmouth Group, an Associa company, seeks an experienced Portfolio Manager to oversee communities in Acton, Westford, Brockton, Waltham, and Tyngsboro, MA. This remote role involves occasional Lexington office meetings. Focus on implementing board policies and strategic initiatives.
Daily tasks include traveling to sites weekly or bi-monthly for inspections of facilities, common areas, and amenities. Ensure rules and regulations adherence while working with Property Administrators on communications and violations. Deliver prompt customer service and schedule work order repairs.
Manage budgets, review financial statements like Balance Sheets and Income Statements, and handle delinquency reports. Develop RFPs, oversee vendor bidding and selection, and build vendor relationships. Prepare board meeting packages and coordinate monthly or annual meetings, in-person or virtual.
Send weekly mass communications to homeowners on maintenance, HOA guidelines, and events. Assist on-call technicians with emergencies. Opportunity to obtain company-paid CMCA certification within the first year.
Requirements
- 2+ years of experience in community association and condo management preferred
- Management experience in single family, multifamily, apartment, leasing, vacation rentals, hospitality, concierge, or customer service encouraged
- Knowledge of Association Board of Directors, General Manager, and homeowner interfaces
- Willingness to obtain CMCA within first year, company paid
- Customer service driven and team oriented
- Ability to read and interpret financials including Balance Sheet, Income Statement, Operating Expenses, Reserves, Delinquency Reports
- Effective project management skills to prioritize and manage multiple projects
- Excellent written and verbal communication skills with conflict resolution techniques
Responsibilities
- Implement Board policy and directives within the management agreement
- Travel to multiple community sites on a weekly or bi-monthly basis
- Perform site inspections of facilities and common areas to ensure proper maintenance
- Work closely with Property Administrators regarding communications, architectural modifications, and violation letters
- Create and manage budgets; review and present financial statements and reports
- Develop and submit RFPs, manage bidding, vendor selection, and oversight
- Prepare board meeting packages, coordinate and attend monthly and annual meetings
- Deliver quality customer service by responding to owner requests and scheduling repairs
