About this role

This position provides executive level administrative, legal, technical, and operational support requiring good judgment, initiative, independence, discretion, professionalism, and confidentiality. It forms the operational foundation for maintaining legal and business affairs records, systems, and processes including corporate secretarial, copyright, trademark, privacy, compliance, and finance matters. The role involves regular interactions with management across a global company.

Day-to-day duties include managing departmental systems, digital and physical copyright registrations, trademark support, records, calendars for the General Counsel and legal team, and administrative tasks like document preparation. Additional responsibilities cover meeting assistance, travel bookings, expense reconciliations, invoice processing, vendor onboarding, and corporate records maintenance. Compliance support and stakeholder liaison complete core activities in this hybrid Toronto position.

The environment demands professionalism and integrity in dealings with the Legal and Contracts Administration team, Publishing Leadership Team, colleagues, and external parties. It requires a high degree of organizational EQ, knowing when to involve others for objectives. Collaboration with cross-functional partners is essential in this full-time regular role.

Requirements

  • 5+ years experience as an Executive Assistant, Legal Assistant, Legal and Business Affairs Administrator, corporate clerk, or corporate paralegal, preferably in large corporate in-house setting
  • College/University education, paralegal, law clerk, or contracts administration training (strong asset)
  • Excellent business communications skills, both written and verbal
  • Detail-oriented, solutions-driven, flexible, and creative
  • Advanced computer skills with excellent knowledge of MS Outlook, Word, and Excel; PowerPoint an asset
  • Experience with document and records management systems (e.g., SharePoint, DocuShare)
  • Familiarity with corporate finance processes, vendor onboarding systems, or compliance tools
  • High degree of discretion, integrity, confidentiality, organizational EQ, and judgment

Responsibilities

  • Manage and maintain departmental systems and processes
  • Manage digital and physical copyright registration procedures and trademark administrative support
  • Handle records and file management
  • Provide calendar management for the General Counsel and legal team
  • Deliver administrative support for Legal and Contracts Administration team, including document and report preparation
  • Assist with departmental and committee meetings, events, and presentations including scheduling, materials, and minutes
  • Manage travel bookings and expense reconciliations
  • Process invoices and expenses including vendor onboarding, reconciliation, and accounting support
